Fees for Lodging and Meals


PHILOSOPHY

Lodging fees are in effect all year. At all times, the fees must be paid within one week after usage.

Member/Guest night charges are due per night from each person sleeping in a bed. Infants sleeping in cribs are not charged.

Late fee charged if lodging fees are sent in after 2 weeks.

Cancellation Policy and Fees 

Cancellation fees within 10 days of your weekend are $25 per person.  The fee is waived if you are sick.  Please refer to the Cancellation Policy for additional information you should know.

Hosted Weekends (December 26 - March 31) Weekend Host Collects Fees for lodging and meals.

Non-hosted Stays (December 26 - March 31) Send lodging fees to the Winter Coordinator.

Green Season Stays (April 1 - December 26) Send lodging fees to Green Season Coordinator.


Collecting Money

On hosted weekends, please pay your host, who will forward payment to the WMSR Treasurer along with the weekend accounting spreadsheet.

Outside of hosted weekends, please pay the WMSR Treasurer directly.

Fees for guests’ use of the clubhouse should be paid to the club by the hosting member and not directly by the guests. This is for regulatory compliance to clarify that we aren’t selling meals or lodging to the general public.

How to pay (in decreasing preference order). Billing and payment methods are determined by the Board.

When making payment, please included a meaningful memo line. “3/3/23; 2 nights; 3M 2G” is a lot more helpful than “Fun weekend at Mules!”



What Charges Cover

On hosted weekends, collected meal money should be sufficient to cover expenses, including replenishing staples. However, for weekends of fewer than 22 people, the Host may have trouble covering food costs. If so, the Host may assess people extra to make up the difference. The Host may NOT make up the difference from room money.

Lodging Fees For Hosts

Hosts of scheduled winter weekends and mid-weeks, including Mulemeister or otherwise, are entitled to free room accommodations. Hosts for any other time are entitled to free room accommodations only if the total number of beds occupied exceeds nine for at least one night. However, in all cases the maximum for free room accommodations is a total of four nights.

House Expenses

A Weekend Host may spend up to $25 for necessary purchases, i.e., light bulbs, first aid items, knives, etc., and these expenses may be deducted from room rents. Weekend Hosts should send the treasurer their receipts and a check for the adjusted room total. Any expenditure exceeding $25 must have prior approval from the Directors or the Executive Committee.
